SSABI.COM / EVENT RENTAL SOFTWARE

Event rental software for gear that leaves the building.

Staging, AV, lighting, rigging, furniture — event inventory lives on trucks and show floors, and the calendar is unforgiving. Ssabi keeps availability, dispatch, and billing in one live system, so a show date is never promised on gear that is already committed.

Show dates don't move. Your inventory does.

An event rental runs on hard deadlines: the load-in window opens whether the gear is back from the last show or not. That's why spreadsheet availability fails events first — a cell that said "12 available" on Monday says nothing about the turnaround between two shows on the same weekend. Ssabi nets availability across every quote, hold, and dispatch by date range, so overlapping shows, staging days, and return inspections are all part of the math.

From quote to show floor to invoice

Quoting on real numbers. Build a quote against live availability for the show dates, with rate cards and freight zones pricing it consistently — no per-deal spreadsheet math while the client waits.

Staging and dispatch. Schedule crews, trucks, and gear against real capacity. Site status flows back as your team logs it: staged, on site, struck, returned.

Returns and inspections. Check gear back in with inspection states, so the next show's availability reflects what is actually rentable, not what is theoretically owned.

Billing that matches reality. Accepted quotes become orders; completed shows become invoices. Rental periods pro-rate, tax applies by rule, and payments run on Stripe with deposits and net terms.

Built for the operators the big platforms overlook: a flat monthly platform fee based on modules and team size — no per-booking fees, and no percentage of your show revenue.

Migrating mid-season is survivable

Inventory, customers, rate cards, and open jobs come across via structured import, and you run Ssabi in parallel with your current system until the numbers match. Your data stays exportable, any time. The migration path is designed around one rule: no standstill weeks, no terrifying cutover weekend.
